What does Bookable mean? Why did someone get two invitations? Can I stop all comms to a student?

Q. Why can't an invited applicant make a booking?

Applicant Open Days (AOD) sorts your invited applicants into those who can book a place on your events and those who can't. An invited applicant must meet all the following criteria in order to be flagged as 'Bookable'.

  1. The Application meets the criteria of one of your live Invite Lists.

  2. They have a login ID listed on their student record (UCAS Personal ID or other ID, depending on your settings).

  3. They have a Course listed in their Application (not blank or 'Course Unknown').

  4. That Course is in a Course Group (for the relevant Year of Entry).

  5. The Course Group has a published Event.

  6. The Event date is in the future

  7. The Event is not 'Closed to further invites'.

Q. Why can't a bookable applicant book onto an event?

  1. The event date may have gone past it's last booking date.

  2. The event has reached capacity. (Check the issues tab).

  3. A required course group activity has reached capacity. (Check the issues tab).

Q. What happens if a student has two (or more) applications?

The student will receive an invitation touchpoint for each application. They can log into the booking form using their applicant ID and date of birth. Once they've logged in, they will be asked to select which Course they would like to make a booking for. Each booking can then be managed separately.

Q. What happens if a student books, and then is rejected, declines or withdraws their application?

The student will remain in the event, and receive any communications as if they were booked. You will need to manually cancel the student's booking to remove them from the event, at which point they will no longer be "bookable".

These types of bookings will show up on the "Issues" tab, under "Flagged Invites".

Q. Can a student who didn't attend their event book onto another?

Yes. Once the the student has been marked "not attended" they can book onto another open day.

Q. Can I stop an applicant from receiving any further invitations or emails?

Yes, on each invite record you can 'Opt out'. This will stop the student receiving any further communications for that record:

Q. Why does this student not have a Course Group listed on the Invites list?

The Student is only assigned a Course Group once they have a booking.

Q. If an Application qualifies for two Invite lists in the same occurrence, will the Student get two invitation records?

No, the student will only ever be Invited once in this case.
