Want to send just one email or SMS to just one student and make sure it is logged?

On the student's record card in the app Student Database (SDB) select email or SMS from the More options (3 little dots) menu:

  • TIP: try the 'Add a Saved Reply' tool at the end of the toolbar to reuse common emails (the same as you can in the app Enquiries (ENQ).

As soon it has been sent, the email is instantly logged in the student's Log. The original email can be viewed at any time:

Q. Which email template is used for these single emails?

A. You can set the template in the Student Database setting 'User Emails' so it follows your other uni branded campaign and touchpoint emails.

Q. Can I add images into my email?

A. Yes, if you use a Saved Reply with images in. Otherwise, no.

Q. Can I add emoji into my email or SMS?

A. Yes. Both support emoji sending.

Q. Can I change who the email is sent from?

A. No. This is your user name and user email.

Q. Can I change who the SMS is sent from?

A. By default all SMS 'from' names are pulled from your Admin settings as agreed with Customer Service. While you can amend this at the point of sending, there are some rules to follow:

The name must be between 3 and 11 characters. You can use standard numbers (0-9) and upper or lowercase letters (A-Z; a-z).

However, you cannot use spaces or Emoji. The only special characters allowed are as below:

We recommend using your organisation's name, or a contraction thereof, so that students know who is contacting them. For example New Forest University might use "NFU", "NFU-OpenDay", or "Admsns.NFU".

Q. Can I schedule single emails or SMS to be sent out later?

A. No. All single emails and SMS are instant.

Q. Oops, I accidentally hit 'send' - and then wish I hadn't. Can I stop it going out?

A. Sorry, but no this is not possible.

Q. Why can't I use an opt-out on my direct SMS or Email?

A. This is because direct-to-student comms are assumed to be Transactional, ie something they need to know about, rather than Marketing.
