What is a task?
In the following example, we can see that this task:
is related to the organisation 'Carter-Ellis" (and was therefore created in the Contact Manager app)
is assigned to the user Dom Yeadon. It reminds me to meet Claire on-site and tells me I have completed sub-task 1 out of 2
shows that the task will remind me 60 minutes before the whole task is due to be completed
was created in 2020, and subsequently modified in 2024.
You can create tasks in the following apps
Applications (APS and APV) - related to an Application
Agent Manager (AGM) - related to an Agent or Agency
Contact Manager (CTM) - related to a Contact, Organisation, or Opportunity
Student Database (SDB) - related to a Student
Note: to add a task you always start from the 'More options' menu in the record card of the entity that the task is related to, eg. the student record card:
Seeing your and everybody else's tasks
The Tasks tab is where you can see and search for current and old tasks.
Note: all tasks in Student CRM are visible to and editable by all Read/Write and Super Users users.
To quickly view your tasks only, click the button top right: "Open tasks assigned to me: 7".

Q. Can every user see and use Tasks?
A. Most, but not all. If you only have Read Only access to the 4 apps that have Tasks (Applications (Active and Passive), Agent Manager, Contact Manager or Student Database) you will NOT see the Tasks tab, and no other user can assign a Task to you. If you have Read Write or Super User you can see and use Tasks.
Q. Can I edit another user's task?
A. Yes. Anything you can do in your own tasks, you can also do in other users' tasks. Your name will then appear as the user who last modified it.
Q. Can I reassign an existing task to a new user?
A. Yes.
Q. Can I update the status of a 'Done' task to 'Not done'?
A. Yes.
Q. Can I create a 'private' task that only I can see and edit?
A. No.
