This article applies to Grab in Adhocs - if you are using Campaigns in Student Database or Applications, click here.

One of the most useful features of Student CRM is the ability to send ad-hoc communications within each App. This called an Adhoc.

You can use this feature to:

  • INFORM: Update students on changes to courses

  • DIRECT: Give a segment of your database a better understanding of a process

First, decide who you want to send your message to.

Step 1. Search for the segment you require, using the filters and date created fields.  There are different fields available in each App.

Once you've narrowed down the records to the correct ones, go to the More Options menu and select Grab.

Step 2.  Enter a name for your activity and select the type 'Email'. You then want to decide if your email is to be sent immediately or scheduled for the future.

Step 3. You can use an HTML email template from your Template Builder library. (Just use the Public URL available in Preview).

Import the template by adding the address and hitting the 'Fetch Template' button. After clicking Fetch Template check it's the right one by clicking 'Preview'.

Add the content for your email. Remember you must fill in the From Name, From Email and Subject. You may also want to use merge fields within the subject or body of the message, like inserting the student's name into the greeting.

Make sure to send yourself a Preview of the email. This will show you what it will look like when sent to your students' inbox.

Step 4. Now you're ready to confirm the send! Press next, and double check you're happy with all the details in your grab and then click 'Confirm'.

Your emails will be queued...

And once they are all sent, you'll be able to view your stats in Comms Log.
