You can configure each occurrence to look and behave differently, to match the way you process direct applications

Show these tabs to users

Choose to show the Portal and Tasks tabs to users.

About this occurrence

Your occurrence can be either 'Passive' or 'Active' (this can't be changed).

  • A 'Passive' occurrence receives applications via a data feed using the Applications API. (Typically a student will complete a UCAS application form that goes into your Student Records System (ie: SITS) and then into Student CRM).

  • An 'Active' occurrence receives applications via a web form. (Typically students click a link on your website and apply directly using your online application form that goes into Student CRM).

CC to agents

Choose whether linked agents can be CC'd in to emails for their applicants' application comms, and whether users can override it.

Occurrence Settings

(To change any of the following settings, please contact customer support)

  • Auto-convert offers: Conditional offers are converted into

    Unconditional offers when all conditions are met and a new Offer letter needs to manually generated ('on' by default).

  • Reject Notifications (optional): When an application is recommended for Rejection, a CRM system notification email is sent to any email you enter.

  • Auto-set region (international): Uses the applicant's country of domicile to set their region, as opposed to using their nationality ('off' by default).

  • Special Deposits (international)(optional): For applicants from the listed countries:

  • Finances: This feature extends functionality for your financial 'items' on any application. Provides detailed info for officers, applicants, and agents.

  • Course Deposits: The deposit amount for each course can be calculated as a flat fee, a % of the course fees, or a fixed amount for the countries listed in 'Special Deposits'.
