Applications come in from your Web Form Manager (WFM) application forms and are listed by status.
Dashboard Status: visible to officers (not applicants) and these are the statuses that you move each application through as you progress them. Each Status name is editable by you.
Officer tip: Put your mouse over the Status name to see the Officer Tip visible to officers (not applicants). This tip is editable by you and shows your officers what they would usually do when an application is this status.
Portal Status: visible to applicants in their Applicant Portal, these are the statuses that you move each application through as you progress them. Each Status name is editable by you so you can ensure your applicants don't always see some of the 'working' statuses that your officers need.
Portal tip: Put your mouse over the Status name to see the Portal Tip visible to applicants in their Applicant Portal. This tip is editable by you and shows your applicants what they need to do next when an application is this status.
This ensures that, for each application, your officers know what to do and what expectations you have set for each applicant. Learn how to set up statuses here.
In the following example, the Portal Tip for all applications at the "Pending" status displays "This application's status means that we are waiting on further information from you or a third party. We will keep you updated by email."
FAQs:
Q. Why isn't the new Year of Entry showing up in the dropdown?
A. The Dashboard relies on applications for new Years of Entry having an Intake month. If you're not intending to use intake months on your form, we recommend putting a test application in which has an intake, and then removing the intake field from your form before it's given to students.
Q. Why are "Incomplete", "New" and "Pending" Statuses always at the top?
A. This is because these are the "entrance" statuses. "Incomplete" and "New" have not yet had any actions against them, and "Pending" is waiting for review by a colleague.
Q. If we edit a Status or a Tip, how quickly does it update?
A. Immediately, so it appears on the next click in this app or in the Application portal.
Q. Can we change the order in which the Statuses are listed?
A. Yes. Super Users can edit the Statuses order in Setup: Statuses Portal. Please see this article for more information.
Q. Do we have to use all the Statuses and Tips on our Dashboard?
A. No. If you decide not to use a Status, it can be switched off by a Super User in Setup: Statuses Portal.
Q. Do we have to display all the Statuses and Tips in our Applicant Portal?
A. No. If you decide not to use a Status, it can be switched off by a Super User in Setup: Statuses Portal.
