Perhaps your Establishment is undergoing a merger or a change in status, and is due to get a new name and a whole new set of branding to go with it. There's a lot to think about changing on the CRM to ensure every part is using the right branding.
This article's aim is to ensure you've considered every part of where you branding might be seen by a student.
Places to consider when changing your branding (Content List):
Privacy Center - Student Privacy Portal, Consent Pack text and Privacy Policies
Template Builder - Email templates and the Image Library
Comms - Touchpoints, Scheduled Campaigns and Ad Hocs, and Birthdays app
Web forms - Themes, Logos and Text
Event Apps - Banners, Redirects and Event Copy
Applications Active - Student Applicant Portal, Offer Letters, Chaser Emails
Utility Apps - Calendar, Public Knowledgebases and Document Library uploads
Changing your Establishment's Name on the platform
Due to the legal implications with regard to contracts and supplier agreements, you're unable to change the Establishment name on the platform. Please contact the CS team about this to have your Establishment's name changed within the platform.
You'll also need to provided with a name for the default "from" email, and a shortname for default SMS (between 3 and 11 standard alphanumeric characters, and the special characters - . # !
).
Places to consider when changing your branding
There are places within the CRM were you can change your branding yourself. Here are a few suggestions to consider.
Privacy Center - Student Privacy Portal, Consent Pack text and Privacy Policies
The privacy center app has several place where your old name might appear, such as within a Consent Pack's Info text, Privacy Policy wording, and Topic titles.
Your old name might also appear in the text or banners on the Student's Privacy Portal. These can be changed in Privacy Center app > Settings > Privacy Center.
Template Builder - Email templates and the Image Bank
Before you can change any touchpoints or other email comms, you'll need to update your templates.
The first things to do is change the images available in your Brand Image Bank. To keep the Image Bank tidy, we'd recommend deleting old images in favour of the new ones.
Old templates can be set to draft, renamed, tagged as 'outdated' or 'unused' or deleted completely.
Ensuring you've updated all your templates and images is a key activity before changing your communications.
We also recommend using the [xxxEstablishment.establishment_namexxx]
merge tag in place of your establishment's name, as this may make it easier in future to update your templates.
Comms - Touchpoints, Scheduled Campaigns, Ad Hocs and Birthdays app
Within the communication tools are a number of areas you'll need to change your name or branding on.
If you're using the Brithday's app, you'll need to change the content of your email, as well as the "from" name and email. If using SMS, the Sender name will have been set by the CS team - let us know if this needs changing.
Scheduled Email & SMS Campaigns, Ad-hocs and Touchpoints will need templates, "from" names and possibly email addresses all changing. You'll also need to check for any Touchpoint attachments, such as campus maps, which may still have old branding on them as well.
Web forms - Themes, Logos and Text
Within Web Form Builder, you have access to alter the look of your forms using the CSS Themes on Step 4 while building your DIY form:
You can also alter text and logos on Step 3: Builder.
Event Apps - Banners, Redirects and Help Texts
The Applicant Open Days (AOD), Pre-Applicant Open Days (POD) and Event Manager (EVM) Forms tab all provide a way to upload banners which may need to change.
POD and EVM also allow redirects to a webpage of your choice so ensure the destination webpage is still correct, and POD includes help text which may have your establishment's old details.
You should also check the copy on future events, such as Programme text and Joining Instructions.
Applications Active - Student Applicant Portal, Offer Letters, Chaser Emails
If you're using Active Applications, then you'll want to ensure that your Student Applicant Portal has the correct branding and other details, such as the admissions email.
Chaser Email and Letter templates may also be using old templates and texts:
Utility Apps - Calendar, Public Knowledgebases and Document Library uploads
Use the Theme to change the colours of your Calendars, and ensure their titles contain your new name.
If you have any public Knowledgebases, they'll need to have their branding changed in Knowledgebase app > Setup > Styling.
Check through all your uploads within Document Library for old uploads, such as Open Day information packs, which may carry old branding. You can either transfer all these to a new category, or simply delete them.
