Use zipped files to maintain data security for sensitive information

When sending sensitive data we highly recommend this is sent via a password-protected file. Sending a password-protected file is one way for you to safeguard sensitive information that you send through an email attachment.

Once the file has been received, open the email as normal and download the file. The downloaded file will display within a grey panel at the bottom left-hand side of the screen once it is successful.

Click the folder once the file has finished downloading.

In this instance, the folder is called 'Hello' and the file 'Sup'.

Double click on the file name and you will be asked for the password to be entered.

The password should be received in a separate email to the file or alternatively provided via telephone.

Ensure the password is entered correctly and 'OK'.

What if I can't open the file?

If you are presented with the below message instead of the 'Password needed' field, you will need to download a Zip file opening programme (problems opening encrypted files are usually presented when accessing via Windows 7). This tends to happen because Windows 7 does not work well with opening strongly encrypted data.

We suggest you contact your IT department to confirm which software they recommend you download in order to open the file. However, for reference, we use software called 7zip that will allow the encrypted file to be opened.
