Invite applicants to your Applicant Day

Applicants (in any Applications occurrence) can be automatically invited to an Applicant Open Day using an Invite List. There are 2 kinds of Invite List:

  1. the DIY Invite List (you create and manage it)

  2. the Managed Invite List (we do it all for you)

The DIY Invite List

Truly the easiest option for you; why not do it all yourself in a few moments?

What you will need to do:

  1. First, create a segment in Applications (filters describing who you want to invite).

  2. Next, go to Applicant Open Days and create your invite list ('Add' icon).

  3. Link it to your segment, and set it live.

Look at the following example: #1106 "UG 2025 Invite List B":

How easy is it to do?

  1. You just click the edit pencil and you are editing it.

  2. View the Invite List's name, description, status, expiry date and of course which segment it uses.

  3. Edit any of those fields, and save.

  4. Or, create a new one using the 'Add' icon above.

The Managed invite List

This list is created using a 'Dynamic' grab from your Applications app by the CRM Support team. You can invite any applicants who meet particular criteria. For instance, you may only wish to invite offer holders for a particular year of entry.

Get in touch with Student CRM Support once you have set up your Day and we can create your Invite Lists for you. Please include the criteria of your invite list in the support request, including the application and Open Days occurrences.

Moving from Managed to DIY

If you already have some managed lists in your Invite Lists tab, and they're still live, they will continue to run until the end of 2024 season, when Customer Support will set them back to 'draft'.

As Customer Support no longer needs to support the creation or editing of Managed Invite Lists, you will be creating and editing your own going forwards, using the ('Add' icon).

FAQs

Q. In AOD I can see some Managed Invite Lists set to 'live', do I need to do anything?

A. No. They will run until the end of this season, you have nothing to do. (Behind the scenes Customer Support set them all to 'draft' for you at the end of the season).

Q. What stops my Invite Lists from last season from continually sending out invite forever more?

A. For Managed Invite Lists, Customer Support sets them to draft for you. For DIY Invite Lists, you set the Expiration Date to set the status to 'Finished' on a certain date

Q. When can I create my DIY Managed Invite Lists for next season?

A. Each September we provide you with a new occurrence of AOD for the next season. Once we notify you, you can add your own DIY Invite Lists.

Q. How many DIY Invite Lists can I create?

A. As many as you like. Some universities have one or two. Other universities have twenty or more, for example so that they can more precisely invite applicants from a subset of particular courses, such as "Nursing courses".

Q. Can I change my Invite Lists mid-season?

A. For Managed Invite Lists (these can't be edited mid-season), Customer Support sets that list to 'draft' and creates a brand new Managed List with the changes.
For DIY Invite Lists, you clone the segment, make your changes, then using the 'update' option, select the new segment in your DIY Invite List.

Q. When creating a DIY Invite List which Applications segments can I choose from?

A. In the dropdown you will see all the Applications occurrences that you have access to, and inside each occurrence you will see all Segments that you have access to.

Q. Can I invite applicants who have deferred entry?

A. Yes. Just include multiple years of entry in the Segments you create for your DIY Invite Lists.

You'll also need to add the extra years' courses to your Course Groups.
