What is the Faculties App?

Learn how the Faculties app provides a base for all other apps

The Faculties app provides a centralised list of all the faculties in your university and each of the departments within them.

This app integrates with other apps such as the Courses app. When you add a new course you can assign it to a faculty and department from the list in the Faculties app.

To add, edit, or delete Faculties and Departments, you must either have Read/Write or Super User access.

To add a new Faculty, click the Plus icon and fill out the new name and shortcode.

To add a new Department, click "Add a new Department", and fill out the name and shortcode.

โ— Please Note:

  • Faculties and Departments must have unique names and shortcodes.

  • Faculties and Departments can only be deleted if they have no published courses against them.

  • When using a Faculty as a condition in an Automation, Segment, SDD, Touchpoint, or Workflow, please use the ID.
    If the name or shortcode of a Faculty is used and then changed later, the condition will longer work correctly.

FAQ

Q. When does the Faculty get updated on a Student's record?

A. As Faculties are linked with Courses, this happens at the same time as their most recent Course of Interest is update.

Q. If a Student has applied for two Courses in different Faculties, which stays on the record?

A. They'll both be added to the record, but the most recent Course of Interest will depend on which Application was last updated.
For example, if the application with the 'Music' faculty is updated at 10:00 and then the application with the 'Social Sciences' faculty is updated at 10:01, then the record will show 'Social Sciences' as the most recent faculty.
