How do I set up a Faculty Event?

Use Faculty Events to show Pre-Applicant students department specific parts of your establishment

When setting up a Faculty Event on your Open Day there must be at least one Faculty Event - All courses belong to a Faculty and whilst booking, the student selects the course they are interested in. This selection assigns them to that Faculty. For example, you could have just a single Faculty Event on an Open Day, or you could assign each of your Faculties a different Faculty Event for an Open Day. Students can only book onto an Open Day if the Faculty they are interested in have a Faculty Event for that Open Day.

How to set up a Faculty Event: 

  1. Click the Setup Tab.

  2. Click the Edit pencil on the Open Day you wish to add your Faculty Event to.

  3. Click the Add Faculty Event button.

  4. Enter the required information (See below for an explanation of each piece of information).

  5. Click the Save button.

Your Faculty Event will now be added to your Open Day.

When adding a Faculty Event, you will need to enter:

  • Faculty – Select the Faculty you want to participate in your Open Day. Please note: you won't be able to change the faculty once the event has been saved.

  • Capacity (P) – This is a Faculty specific Party Capacity. Once a Faculty event is full, the event will vanish from the booking form. Faculty Capacity issues are listed on the Capacity Issues Tab.

  • Target – The desired number of registrations for the Faculty Event. This does not limit bookings or capacity. It is a number used for reporting.

  • Programme Text - Text that will appear at the top of the students' programme. This text will appear just below the programme text entered for the Open Day Date.

If you don't wish to have any Faculty specific activities on your Open Day, proceed to Step 4. 

Once you have added your Faculty Event, when viewing the Open Day, they will appear as below:

Faculty Event Activities are faculty-specific activities that are only offered to students if the Faculty Event Activity matches the faculty the student is interested in. For example, you might want to show Art Department Tours only to students interested in any Art course.

If you want Faculty Event Activities, follow the below instructions:

How to add a new Activity to your Faculty Event:

  1. Click the Faculty Events tab from within Pre-App Open Days Setup.

  2. Click the Edit Pencil for the Faculty Event you wish to add an activity to.

  3. Click the Add Activity Type button.

  4. Enter all the required information (See Step 2 for an explanation of each piece of required information).

  5. Click the Save button.

Your Activity will now be saved and displayed under the 'Activities for this Faculty Event Only' section. Your Activity will also have its first slot setup based upon the information you gave when adding the Activity.

To add a new Time Slot to the Activity:

  1. Click the Add Time button.

  2. Enter all the required information. You’ll notice that the Start Time has moved by the same amount as the duration set in your previous Time Slot.

  3. Click the Save button.

Your new Time Slot will now be displayed with the other Time Slots for your Activity.
