How do I set up Multi-location Open Days?

Adding travelling times to your Open Day lets students know what they can't make

Multi-location Open Days allows you to set travel time for different Locations for your open day's activities. This will stop students from booking activities at two different campuses or buildings which they won't be able to get to in time.

This function is also available in Pre-Applicant Open Days.

To set up your Locations, you'll need to click on the Settings cog, then the Locations tab.

Adding Locations

  1. Click on the Plus icon to add a location.

  2. Add the details of your Location, including a campus or building name and description. (At the moment, this does not appear on the booking form, so it's just for your reference.)

  3. You can optionally add a Map URL, such as a Google map link. (At the moment, this does not appear on the booking form, so it's just for your reference.)

  4. Set the status to Live once you are happy. Please note, nothing will be active until you add Locations to all Activities on an Open Day Event

  5. Save your Location.

Repeat the process for as many Locations as you need.

Setting Times Between Locations

You can now set the travelling time between each Location in Times.

  1. Click on the Times tab and then Edit

  2. Add the travelling time in minutes between each of your Locations. The table will be automatically filled with the reverse of each travel time

  3. Save your work.

You can also change the message students will get when they pick activities which are too far apart.

  1. Click on Travel Warning

  2. Add your own message

  3. Save.

Great! You will now have the option to turn on Locations and add them to Activity Slots on your Open Day and Course Group Events.

Adding Locations to Slots

  1. Edit a Slot or Add an Activity

  2. Select a Location

  3. Add your specific venue as usual.

(Please note that Venue is different from Location. While Location is a building or campus, the venue will be a more specific detail, such as a room number or specific meeting place on campus.)

You can't turn Locations on for the Open Day date until all Events and Activities for that day have been set up with Locations.

Once all of your Day and Course Group Event activities have locations, turn on the Locations function:

  1. Go to Dates and click on the relevant Open Day date

  2. Turn the Locations switch to On.

Making a Booking

Your Locations will now be live on your open day booking form. None of your students can book activities where they won't be able to travel to the next activity in time.
