How do I add activities?

Setting up things for your Students to do on their Open Day

Once your Open Day Date has been set up, you can add the Activities for that Date. Activities on Open Day Dates are for all students attending that day, regardless of which faculty they belong to. For instance, you may have a Registration activity that is required and a Campus Tour activity, which is optional. Both these activities would be offered to any student coming on the day regardless of Faculty or Course Group.

How to add a new Activity to your Date:

  1. Click the Date tab from within Pre-Applicant Open Days Setup.

  2. Click the Edit Pencil for the Open Day you wish to add an activity to.

  3. Click the Add Activity Type Button

  4. Enter all the required information (see below for an explanation of each piece of information).

  5. Click the Save button.

Your activity will now be saved and displayed under the Day Activities Section. Your Activity will also have its first slot setup based upon the information you gave when adding the Activity.

When adding an Activity, you will need to enter:

  • Name – The Name of your Activity

  • Programme Text – A description of your activity and any details the students need. This text is displayed on the students' programme and is displayed to all students who book this activity.

  • Required – Set whether all students booking on that Open Day must come to this Activity.

  • Slow Release – This will allow the first time slot entered to be filled before the next time slot is displayed

  • Start Time – Sets the start time of the first Slot in the Activity.

  • Duration (mins) – Sets the duration of the first Slot in the Activity.

  • Capacity – Sets the capacity of the first Slot in the Activity. Unlimited means that there is no capacity restriction for this Slot.

  • Capacity Type – Sets the type of capacity for the Activity. Individual capacity is just the student. Use this for activities you only want the student to attend and not their guests. Party size capacity is the student and their guests. Use this for activities you want the student and their guests to attend.

  • Location – This will allow a campus to be selected that will have been entered into the Locations tab of the app. It is to prevent students from booking onto events in which they are unable to get to in time. (Multi-Location Open Days)

  • Venue – Sets the location of the first Slot in the Activity.

  • Slot Programme Text – A slot specific text that is displayed on the students programme. This text is only displayed to student who have booked this specific time slot.

How to add a new Time Slot to the Activity: 

  1. Click the Add Time button.

  2. Enter all the required information. (You’ll notice that the Start Time has moved by the same amount as the duration set in your previous Time Slot).

  3. Click the Save button

Your new Time Slot will now be displayed with the other Time Slots for your Activity.

You can add as many Activities and Time Slots as you need for the Open Day. We recommend adding each of the activities students will be doing for the day, this will produce the best possible programme for the student. Rather than grouping several things into one activity, split them into separate activities so the student's programme describes exactly what they'll be doing on the Open Day.

Once you have added your activities and slots, they will appear as follow when viewing your Open Day.

FAQ

Q. Why can't I delete this Activity or Slot?

A. Ensure there are no bookings on it, real or test. As a safety measure, the platform prevents you from deleting anything with a booking.
