'Send Once' Touchpoint Timing

As well as setting touchpoints to send immediately or after a delay of (x) days, RAP touchpoints can now be sent once only on a fixed date and time.

Ideal for a series of fixed-date emails. You can schedule each touchpoint with precision, for example:

  • your January email on Wed, 17 Jan 2024 at 14:30,

  • your March email on Thu, 14 Mar 2025 at 17:15,

  • your May email on Fri, 17 May 2024 at 09:00.

Set each touchpoint to be sent once only, on a fixed date and time

Your Touchpoints can then be sorted by the 'Timings' column like this:

Once you have set your Workflow and Touchpoints live, you simply add students to that workflow:

Send targeted students onto your RAP WKF with a simple “Add to RAP occurrence” automation like this:

In the following example: Every time a student gets updated in SDB, and the record creation date was "between 1 Jan 2024 and 31 Dec 2024", AND YoE was "2025" then (unless they are already on that WKF) send it into your RAP occurrence where the WKF full of send once Touchpoints is waiting.

As soon as you set that automation live, students will start to be added to your WKF.

FAQs

Q. How do I decide who gets these touchpoints?

A. You set your conditions in an Automation.

Q. Can students unsubscribe from just these emails (but still get important emails)?

A. Yes. When the student clicks the 'manage my preferences' link in your touchpoints they will go to a page that offers them a list of topics to opt into or out of.

Q. How many touchpoints can I set up like this?

A. You choose. You might want 100 emails in one WKF, or 100 emails in 100 WKFs.

Q. Can the same student be sent to the same WKF more than once?

A. Yes, if you want to. In this example we don't want that, so we instruct the Automation to only send those without the tag 'Nurture-Campaign-A' and add it afterward so the student doesn't get it again.

Q. What if a student qualifies to be sent into RAP when they are created, but then gets a new YoE later on, so should no longer get the rest of the touchpoints?

A. You simply add the same conditions to your touchpoints. If a student had Yoe 2025 in Jan but changed it to 2026 in Mar, they will no longer meet the conditions on the remaining touchpoints and won't get them.

Q. If a student joins halfway through a series of touchpoints, do they get all the old ones all at once?

A. No. Since each touchpoint can only be sent once at a fixed time on a fixed date, once that has passed, that touchpoint never goes out again. They will only get the touchpoints with a send-on date in the future.

Q. Why are students not arriving on my new workflow?

A. Check: a) is your WKF live? b) are all TPs live? c) is your Automation live?
