How do I create Open Day Activities?

Activities for all students attending your Date.

So what are Open Day Activities? These are individual activities taking place on your open day. They are specific to the Open Day date, so all students booking on the Open Day will be offered the activity, no matter what Course Group they belong to. For example, an Open Day Activity could be Registration, or Campus Tours.

Both these activities would be offered to all students booking for the Open Day regardless of Course Group.

To add your Open Day Activities:

  1. Click the Dates tab

  2. Click Edit on your Open Day Date

  3. Click the Add Activity Type button at the bottom of the page

  4. Fill in the required information. See below for a description of each piece of information

  5. Click the Save button.

Your Open Day Activity will now be saved. Your Open Day Activity will also have it’s first Time Slot setup based upon the information you gave when adding the Activity.

The information required when adding an Open Day Activity is:

Name – The Name of your Activity, e.g. “Registration”. This is limited to 255 characters, and can be changed even if it has bookings.
Activity Programme Text – A description of your activity and any details the students need, e.g. “All students need to attend...”. This text is displayed on the students programme and is displayed to all students who book this activity.
Required – Set whether all students booking on that Open Day must book onto this Activity, e.g. “Yes”.
Slow Release - If the Activity has multiple Time Slots, then only one Time Slot is offered on the booking form at a time. This ensures that the earliest Time Slots are filled first, e.g. “Yes”.
Start Time – Sets the start time of the first Slot in the Activity, e.g. “09:30”.
Duration (mins) – Sets the duration of the first Slot in the Activity, e.g. “30”.
Capacity – Sets the capacity of the first Slot in the Activity. Unlimited means that there is no capacity restriction for this Slot, e.g. “30”.
Capacity Type – Sets the type of capacity for the Activity. Individual capacity is just the student, i.e. “Party”. Use this for activities you only want the student to attend and not their guests. Party size capacity is the student and their guests. Use this for activities you want the student and their guests to attend.
Venue – Sets the location of the first Slot in the Activity, e.g. “Branksome House”.
Location (if activated) - Add the Location of your venue if you're using Multi-location Open Days.
Slot Programme Text – A slot specific text that is displayed on the student's programme. This text is only displayed to students who have booked this specific time slot, e.g. “This activity time will be cooking...”. The following pieces of information are displayed on the student’s programme: Name, Programme Text, Slot Programme Text, Start Time, Duration and Venue.

Adding a Time Slot:

Each Activity can have multiple Time Slots throughout the day. Time Slots are different times when the Activity is taking place throughout the day. Students pick a Time Slot for each Activity when they book onto the Open Day.

To add a new Time Slot to the Activity:

  1. Click the Add Time button

  2. Enter all the required information. You’ll notice that the Start Time has moved by the same amount as the duration set in your previous Time Slot

  3. Click the Save button.

Your new Time Slot will now be displayed with the other Time Slots for your Activity. You can add as many Activities and Time Slots as you need for the Open Day.
