Users can use the apps that their User Admin has permitted them to see.

Granting access is done in the Users app for each user.

There are 4 levels of permission.

  • No access - This means that either a user will not see the icon for an app, or will not see an occurrence within that app. For example, an International Recruitment officer may only see the International occurrence of the Enquiries App.

  • Read-only access - This means that a user can see an app or occurrence, but cannot make any changes to it. For example, an Enquiries officer may need to read a Knowledgebase article, but they do not need to edit it.

  • Read-Write access - This is when a user can see and edit an app or occurrence. For example, a Recruitment officer could have access to take bookings and mark off attendees in Applicant Open Days, but they cannot edit the Day's activities

  • Super User access - Super Users are people who have access to all the settings in an app or occurrence.
Super Users may also be able view tools like Checklists, or be a User Admin - the person able to give other users access permissions. Super Users are also more likely to be members of the User Group.

In this way, each user can see the apps appropriate to their job function. It is quite usual to see two colleagues in the same office, both logged into Student CRM, but with completely different apps on their Home Page.
